9K a year 4 hours ago 4 hours ago 4 hours ago JOB SUMMARY Under the general direction of the Public Works Director, performs general operational and administrative work for the Public Works Department.
The Administrative Secretary is responsible for a wide variety of clerical tasks and administrative support to all of the divisions within Public Works as well as processing purchase orders and invoices through HTE.
ESSENTIAL JOB FUNCTIONS Processes requisitions, purchase orders, and change orders within HTE Naviline system for all divisions in Public works Maintains excel spreadsheets of budget expenditures.
Provides budget and account activity listing reports as directed.
Answers phone calls and directs citizen phone calls to appropriate personnel and open and sorts mail.
Enter work orders in the work order system and send to the appropriate division Supervisor Works effectively with a variety of staff, other governmental representatives, and the public.
Monitors and maintains adequate amount of office supplies and copier paper.
Maintains point of contact for office machinery repairs and maintenance.
Files, updates, and maintains records and monthly and quarterly reports.
Assists the Director in monitoring expenses and requests of purchases to ensure operation within the budget.
Issue approved public right of ways permits.
Develops formats and/or composes replies to routine correspondence.
Essential Employees may be required to work during a declared or undeclared emergency.
Performs other related job duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES Knowledge of office practices, procedures, equipment, principles and techniques.
Knowledge of word processing and spread sheet computer programs.
Skill in the use of a variety of computer programs, including Microsoft Office, and various other office equipment.
Ability to perform public speaking.
Ability to multi-task and work under minimum supervision.
Ability to understand and follow verbal and written instructions and procedures.
Ability to communicate effectively, both orally and in writing.
Ability to deal tactfully and courteously with the public and maintain composure in difficult and/or stressful situations.
Familiar with IWorQ work order system or similar type of work order systems EDUCATION AND EXPERIENCE High school diploma or GED certificate including courses in typing and other commercial subjects with five (5) years' experience in general operational and administrative work; or an equivalent combination of education, training and experience.
General understanding of road right of ways, easements, jurisdictions and the ability to decipher maps and plats is preferred.
Special
Qualifications:
For positions requiring the operation of City vehicles, must possess a valid current Florida driver's license, or be able to acquire one within 45 days of hire.
Associate's degree in Business or Public Administration, Accounting, Finance, or a related field is preferred.
Ability to speak a second language (Spanish) is desired.
ESSENTIAL PHYSICAL SKILLS PHYSICAL DEMANDS The work is generally sedentary to light and may require exerting up to 20 pounds of force occasionally to lift, carry, push, and pull or otherwise move objects.

Estimated Salary: $20 to $28 per hour based on qualifications.
